Refund and Cancellation Policy

1. Introduction

At Qode Maker, we prioritize customer satisfaction and are committed to delivering high-quality IT solutions, such as website development, website design, mobile app development, ecommerce development, content management system (CMS) integration, graphic design, branding, digital marketing, and more. This Cancellation and Refund Policy outlines the terms under which cancellations and refunds are processed.

This policy explains how refunds and cancellations are handled in line with the Reserve Bank of India’s (RBI) Payment and Settlement Systems Act, 2007, and the relevant RBI guidelines for Payment Aggregators and Payment Gateways (Circular dated March 17, 2020, updated as on November 17, 2020).

We use Stripe as our global payment processing partner to ensure secure and reliable transactions. Policies may vary slightly based on the user’s geographic location (India vs. International), as outlined below.

2. Cancellation Policy

A. For Indian Users

  • Service Cancellation:

    • You may request a cancellation of our services before the project commences or as per the terms outlined in the specific project agreement.

    • All cancellation requests must be submitted via email to contact@qodemaker.com

  • Ongoing Projects:

    • If a project is already in progress, cancellation requests will be evaluated based on the current project phase, resources utilized, and effort invested.

    • Partial refunds may apply at our sole discretion.

  • Retainer Services:

    • For ongoing retainer services such as SEO, digital marketing, website development, website design, mobile app development, e-commerce development, content management system (CMS) integration, graphic design, branding, digital marketing, and more, cancellation requests must be made at least 15 days before the next billing cycle to avoid charges.

  • EMI and Subscription-Based Services:

    • Qode Maker offers a convenient EMI-based payment model. This option allows clients to begin their project by paying just 50% of the total cost upfront, and the remaining 50% can be paid through monthly Equated Monthly Instalments (EMIs). 

    • For customers opting for EMI payments, the website or service will go live only after the first EMI installment is successfully processed. 

    • This EMI plan is available for select high-value projects only, and the EMI breakdown will be clearly stated in the project agreement or invoice.

    • EMI payments are processed securely through RBI-compliant payment gateways and may include applicable processing charges as per the terms of the payment partner.

    • Failure to complete EMI payments on time may result in restricted access, delayed delivery, or suspension of services until dues are cleared.

B. For International Users

  • Cancellation terms mirror those for Indian users unless otherwise specified in a service-level agreement (SLA) or project contract.

  • Local banking or Stripe policies may affect refund timelines for cross-border payments.

3. Refund Policy

  • Eligibility for Refunds (Common for All Users):

Refunds may be issued under the following conditions:

  • Failure to deliver the agreed-upon services due to our inability.

  • If there are any instances of double payment or billing errors.

  • If the project is canceled before its commencement.

 

  • Non-Refundable Circumstances (Common for All Users): 

 

Refunds will NOT be provided under the following conditions:

 

  • A change of mind occurred after the project’s initiation.

  • Project delays caused by the client’s lack of communication, unavailability, or failure to provide necessary inputs.

  • If the project scope changes or additional services are requested beyond the original agreement.

 

  • Failed or Canceled Transactions (Common for All Users):

    • In the event of a failed or canceled transaction due to technical issues or payment gateway errors, an automatic refund will be initiated within 7–10 business days.

 

  • Refund Process and Timelines

    • For Indian Users 

      • Submit your refund request in writing to contact@qodemaker.com within 14 days of the payment or issue.

      • Include relevant documents like payment ID, invoice, and description of the concern.

      • All valid refund claims will be processed within 10–15 business days via the original mode of payment through Stripe.

      • Once approved, refunds will be processed within 10 to 15 business days via the original payment method, unless specifically agreed upon by the customer to credit an alternate mode.

    • For International Users

      • Submit your refund request to contact@qodemaker.com within 14 days of the payment or issue.

      • Valid refunds will be processed within 10–15 business days, but actual receipt may vary depending on:

        • Your local bank’s processing time

        • Intermediary banking systems

        • Currency conversion timelines (if applicable)

      • Refunds will be issued in the original currency/mode used via Stripe.

4. Payment Gateway & Security Compliance

  • All online payments are securely processed via Stripe, a globally trusted PCI-DSS-compliant payment gateway.

  • Qode Maker does not store any credit/debit card or payment information on its servers.

  • All transactions are encrypted and processed through Stripe’s secure payment infrastructure.

5. Jurisdiction-Specific Compliance

  1. Indian Users

    • Refunds and cancellations follow the Payment and Settlement Systems Act, 2007, and relevant RBI guidelines.

    • All disputes are subject to Indian law and fall under the jurisdiction of courts in Mohali, Punjab.

  2. International Users

    • For users outside India, refunds and cancellations will be managed in line with relevant local laws and the terms agreed in the service contract.

6. Amendments and Modifications

Qode Maker reserves the right to modify this Cancellation & Refund Policy at any time. Changes will be effective upon posting on our website. We encourage you to review this policy periodically to stay updated about the Cancellation & Refund Policy in compliance with Indian laws.
